Client Services Coordinator

Group: Client Services

Reporting to: VP, Client Services

Location: Mississauga, ON

Summary:

The incumbent provides a high level of administrative support to the Client Services Group, supporting the day-to-day operational needs of the business.

Responsibilities as follow, but not limited to:

Co-ordination of internal processes:

  • Emailing digital contracts to the field
  • Having contracts signed off and distributed to all departments (with notifications)
  • Tracking quotes/contracts through Microsoft Access
  • Reporting
    • Weekly Report & Revenue Tracking Report
    • Managers Meeting Reports
    • Any other reports people request
  • Keeping the contract and quote templates current
  • Ensuring clients are being contacted by field staff
  • Peer reviewing contracts/proposals
  • Hand-Off Forms
  • Notifying accounting of processing shipments and ensuring invoices are prepared; as wel
  • Creating current job listings for all of the necessary staff
  • Maintaining filing system for marketing/sales
  • Handling clients for sales reps when they are out of the office
  • Following up on all outstanding issues reps have with clients to ensure their completio
  • Ensuring that clients who have requested reports are on track for receiving their repor
  • Preparing lists for operations on what costings are outstanding
  • Attending sales meetings
  • Following day-to-day activities in the field; flagging anything necessary for reps

Marketing Support:

  • All tradeshow organization
    • Registration
    • Hotel/Flights
    • Brochures for the show
    • Booth
  • Coordinating advertising with vendors

Administrative Support:

  • Office Supply Ordering
  • Ordering stationary
  • Weber (Janitorial) Supply Ordering
  • Coffee/cream ordering
  • Back up for answering phones
  • Back up for FedEx shipping

Criteria:

  • Minimum 1 year administrative office experience
  • Experience with Microsoft Office, especially Access
  • Professional appearance and demeanor
  • Ability to multi-task
  • Ability to prioritize
  • Strong financial skills
  • Strong computer skills
  • Team player
  • Have a sense of urgency
  • Excellent problem solver
  • Results driven
  • Excellent planning and organizational skills
